How to Use Our Food Inventory Spreadsheet Template
1. To manage your kitchen and pantry contents, access the template via Excel download, PDF export, or Google Sheets copy.
2. Write down your restaurant or business name, address, and who’s in charge of tracking food stock, plus today’s date. Add the manager’s name and the date they checked the inventory. Use the Notes section for any additional information.

3. Complete the Item Details section by entering all essential product identification information:
- Item Code: Enter the unique identifier or SKU assigned to track this specific food item in your inventory system.
- Item Name: Record the complete name or description of the food product.
- Category: Specify the classification for this item (Fresh Produce, Dairy & Eggs, Meat & Poultry, Seafood, Bread & Bakery, etc.).

4. Fill in the Inventory Tracking section by documenting all quantity and cost details:
- Quantity on Hand: Enter the current stock level of this item in your inventory.
- Unit Cost: Provide the cost per individual unit or package of the food item.
- Total Value: The spreadsheet automatically calculates the total value of this product’s inventory.

5. Document the freshness and timing information in the Date-Specific Tracking section to ensure proper rotation and food safety:
- Date Received: Record when the item was delivered or added to your inventory.
- Expiration Date: Include the date by which the product must be used or sold to maintain quality and safety standards.
- Days Left: The template calculates the remaining days until expiration itself to prioritize usage and minimize waste.
